Sol Media ("Sol Media," "we," "us," or "our") respects your privacy and is committed to protecting it through this Privacy Policy. This Policy describes what personal information we collect when you visit our website at solmedia.com or book a real estate photography or video session with us, how we use it, with whom we share it, and the rights and choices available to you regarding your information.

By using our website or booking a session, you agree to the practices described in this Policy. If you do not agree, please do not use our website or services.

2. Who We Are

Sol Media is a real estate photography and cinematic video service based in American Fork, UT, serving Utah Valley real estate professionals. For any privacy-related questions, you can reach us at solmediautah@gmail.com.

We collect the following categories of personal information:

3.1 Information you provide directly

  • Booking information. When you reserve a session, we collect your name, email address, phone number, the property address to be photographed, the date and time of the appointment, and any notes you submit (for example, access instructions or special requests).
  • Payment information. Payments are processed by our third-party payment provider (Stripe), accessed through our scheduling platform (GoHighLevel). We do not store full payment card numbers on our own systems. We may retain partial transaction information (last four digits of card, billing name, transaction amount, and timestamp) for accounting and tax purposes.
  • Communications. If you contact us by text, email, or phone, we keep a record of that correspondence and any information you choose to share with us.

3.2 Information collected automatically

  • Usage data. When you visit our website we may automatically receive your IP address, browser type, device type, operating system, the pages you view, the date and time of your visit, and the referring website.
  • Cookies and similar technologies. Our website may use cookies and similar technologies to remember your preferences (such as your theme or language choice) and to measure traffic. You can disable cookies through your browser settings, though parts of our site may not function properly if you do.

4. How We Use Your Information

We use the personal information we collect to:

  • Schedule, confirm, and fulfill your photography or video session.
  • Process payments and send receipts.
  • Deliver your finished photos and videos through a private online gallery.
  • Communicate with you about your booking, including reschedules, access questions, weather updates, and delivery notifications.
  • Respond to inquiries you send us.
  • Maintain records required for tax, accounting, and other legal obligations.
  • Operate, maintain, and improve our website and services.
  • Send occasional marketing or business updates (only if you have not opted out, and with a clear opt-out option in every message).
  • Detect and prevent fraud, abuse, or violations of our terms.

5. How We Share Your Information

We do not sell your personal information. We share your information only in the following limited circumstances:

  • Service providers. We share information with vendors who help us operate our business. This currently includes GoHighLevel (booking, CRM, communications), Stripe (payment processing), and may include email delivery, SMS delivery, analytics, and online gallery providers. These vendors are contractually obligated to protect your information and use it only to provide services to us.
  • Legal compliance. We may disclose information when required by law, subpoena, court order, or to protect our rights, property, or safety, or that of our clients or others.
  • Business transfers. If Sol Media is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. You will be notified before your information is transferred and becomes subject to a different privacy policy.

6. Data Security

We take reasonable administrative, technical, and physical measures to protect your information against accidental or unlawful loss, theft, misuse, unauthorized access, disclosure, alteration, or destruction. These measures include encrypted connections, access controls on our scheduling and gallery platforms, and contractual safeguards with our service providers. No method of transmission over the internet or electronic storage is one hundred percent secure, however, and we cannot guarantee absolute security.

7. Data Retention

We retain personal information for as long as needed to provide our services and to meet legal, accounting, and tax obligations. Booking records and related communications are typically retained for at least four years. Finished image galleries are typically retained for one year from delivery, after which they may be archived or deleted. You may request earlier deletion as described in Section 8.

8. Your Privacy Rights

Subject to applicable law and any verification required, you may have the following rights regarding your personal information:

  • Right to access. Request confirmation that we are processing your information and obtain a copy of it.
  • Right to delete. Request that we delete personal information we hold about you, subject to legal retention requirements.
  • Right to data portability. Receive a copy of your data in a portable, commonly used format.
  • Right to opt out. Opt out of the processing of your personal information for purposes of targeted advertising or the sale of personal information. We do not currently sell personal information.
  • Right to non-discrimination. We will not deny services, charge different prices, or provide a different quality of service because you exercise any of these rights.

If you live in a state with a comprehensive consumer privacy law (such as Utah, California, Virginia, Colorado, or Connecticut), the rights above apply to you. We honor the same rights for residents of any state as a matter of policy.

9. Children's Privacy

Our services are intended for real estate professionals and property owners aged eighteen and older. We do not knowingly collect personal information from children under thirteen. If you believe we have collected information from a child under thirteen, please contact us and we will delete it.

Our website may contain links to third-party websites. We are not responsible for the privacy practices or content of those sites. We encourage you to read the privacy policies of any third-party sites you visit.

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page and, where appropriate, notify you by email or through a notice on our website. Continued use of our services after changes take effect constitutes acceptance of the revised Policy.
